Our Opportunity
We have a great opportunity for a Bid Coordinator to join our growing and dynamic team of friendly high performing International Development professionals; based in our Westminster office. Reporting to the Head of Bidding, the Bid Coordinator role sits at the heart of our formal tender response process. You will be responsible for co-ordinating the production of proposals / bids (SQ, RFI, ITT, RFP etc) and take responsibility for input. Assisting the Head of Bids with the continuous development of all necessary proposal procedures and processes whilst being the champion of collaboration tools, document management and version control best practices. You must have previous experience in producing bids and demonstrate a strong understanding of proposal management; ensuring the timely delivery of compliant proposal documents within a complex business environment.
Key responsibilities
Create and own the bid plan and take overall responsibility for producing a compelling proposal, on time and within the agreed budget (if relevant).
Champion continuous development of proposal procedures and processes.
Produce and deliver compliant, professionally produced proposals within customer defined timeframes in line with the business win process, including:
Analyse and de-construct client SORs/ITTs to create compliance matrices, response trackers, and response outlines for completion by others.
Populate and update bid tools using template documents (e.g., logs for responses, risks, issues, client notices).
Implement document version control procedures and processes.
Organise and participate in bid meetings, reviews, deadlines, gateways – recording actions.
Search, log, and disseminate communications between the business and the Client (CQs/RFIs).
Coordinate and track proposal input from a variety of stakeholders, typically involving contributions from project delivery, solution architects, finance, reviewers and third parties.
Coordinate due diligence activities for onboarding consultants for the opportunity.
Format and proof the final responses to ensure a high-quality submission.
Upload the response documents (usually to an electronic portal).
Monitor tender portals and incoming requests via email for information relating to any tenders that the Company may wish to consider.
Maintain a library of compliant responses and be responsible for entering these elements into bids.
Maintain library of technical responses, case studies, and graphics (boilerplate).
Skills and Knowledge
Proven ability in planning, producing, and delivering compliant proposal documents within a complex business environment.
Knowledge of general procurement processes to include tenders and framework agreements.
Experience responding to UK Government tenders, specifically the FCDO, Home Office, and CSSF.
Experience responding to USAID and US DoS tenders including use of FedBizOps and an understanding of Federal Acquisition Regulations.
Professional understanding of document templates, macros, and styles.
Proficient in Microsoft Office, SharePoint, Adobe Acrobat Professional, MS Project and MS Power BI.
Excellent time management – able to manage time and tasks efficiently with good prioritisation.
Exceptional attention to detail, with strong written English language skills.
Extremely organized and process driven.

Current SC clearance or the ability to secure it.
Experience in the delivery of cross government activity.
Project management qualifications e.g., PRINCE2, Bid management qualifications e.g., APMP Apprenticeship or Foundation (Practitioner or Professional level desirable).

£36,750 to £42,000 D.O.E
